Role Description:
Pixxel is seeking a highly organised, proactive, and execution-focused Senior Manager - Office Admin to run and scale workplace operations across all offices and facilities. This role is responsible for ensuring seamless day-to-day administrative operations, managing high-value vendors, maintaining physical infrastructure, optimising operational costs, and building scalable administrative processes that support a rapidly expanding organisation.
The ideal candidate will balance high-level operational strategy with hands-on execution. You will possess exceptional attention to detail, strong financial and vendor negotiation acumen, and the agility to navigate complex stakeholder dynamics in a dynamic, high-growth environment.
Responsibilities & Duties:
Workplace & Facility Management
Oversee day-to-day administration and facility operations across all office locations, ensuring infrastructure, utilities, housekeeping, security, transportation, cafeteria, and maintenance services operate efficiently.
Maintain a safe, highly productive, and employee-friendly work environment.
Drive workplace expansion plans and physical office readiness to seamlessly support Pixxel’s rapid organisational growth.
Vendor & Contract Management
Manage end-to-end relationships with facility, security, housekeeping, travel, and infrastructure vendors.
Negotiate contracts, renewals, and service agreements to optimise quality, maximise value, and reduce operational costs.
Monitor vendor performance rigorously through regular reviews and data-driven Service Level Agreements (SLAs).
Ensure compliance with contractual obligations and service expectations.
Budgeting & Cost Optimisation
Prepare, track, and manage annual administration budgets and financial forecasts.
Audit administrative expenses and identify proactive opportunities for operational efficiency and cost savings.
Evaluate vendor proposals and recommend commercially viable, scalable solutions.
Ensure adherence to approved budgets while maintaining service quality.
Employee Experience & Workplace Services
Partner closely with People Experience and business teams to deliver a seamless, high-touch workplace experience.
Support employee onboarding by ensuring immediate workplace readiness, building access, asset allocation, and workspace setup.
Drive workplace initiatives that improve employee satisfaction, engagement, and productivity.
Address and resolve employee concerns related to facilities and administrative services promptly and effectively.
Infrastructure & Asset Management
Oversee office assets, inventory, consumables, and infrastructure maintenance.
Ensure robust tracking, allocation, and lifecycle management of all company assets.
Coordinate workspace planning, seating arrangements, and office expansion logistics.
Maintain records and documentation related to facilities and infrastructure.
Compliance, Safety & Governance
Ensure absolute compliance with local regulations, statutory requirements, and workplace safety standards.
Coordinate external audits, routine inspections, license renewals, and regulatory documentation.
Support emergency preparedness, workplace safety initiatives, and business continuity planning.
Process Improvement & Operational Excellence
Develop, document, and implement scalable administrative processes, policies, and standard operating procedures (SOPs).
Identify operational inefficiencies and drive continuous improvement initiatives.
Build dashboards and reporting mechanisms to track facility performance, costs, and service levels.
Leverage technology and automation to improve workplace operations.
Stakeholder Management
Partner closely with internal teams, including Finance, IT, Security, Legal, and People Experience.
Provide regular data-driven updates to leadership on administrative performance, budgets, risks, and facility improvement initiatives.
Act as the primary point of contact for workplace and facility-related matters.
Desirable Skills & Certifications:
8–12+ years of execution-focused experience managing multi-location office operations and facility infrastructures.
High proficiency with productivity tools (Google Workspace, Slack), asset management systems, and workplace dashboard/reporting platforms.
Proven track record of negotiating high-value vendor contracts and managing tight administrative budgets.
Demonstrated ability to execute quickly, multi-task under pressure, and adapt to the fast-changing dynamics of a startup environment.
Sound understanding of workplace safety, statutory compliance, and facility governance is desirable.
High ownership, exceptional attention to detail, and a customer-service orientation.
Candidate Acumen: Demonstrated expertise in administration, facilities, vendor, and workplace operations with a strong ability to drive operational excellence, cost optimisation, stakeholder management, compliance, and employee experience in a fast-paced, high-growth environment.
